Advertised Summary Job Description: Reporting to the Executive Director for the Office of Student Financial Aid & Planning (SFA&P) for Columbia's medical (VP&S) and dental (CDM) schools, the Project Coordinator functions with minimal supervision, and provides support in a number of project areas:
Electronic Files and Forms Maintenance: -Work with SFA&P Enterprise Data Management system (OnBase) for student financial aid files ? includes developing and maintaining Qualtrix and Drupal online financial aid form submission system; indexing financial aid documents. Track and monitor OnBase activities in production and test; -Develop and maintain electronic administrative and financial filing systems.
Website Maintenance and Editing: Administer department's website and work with the Associate Director for content and design, creation of new entries, editing, and coordination with other departments and related sites. Using Drupal and Qualtrix software, assist with development and revision of financial aid forms and publications, and website content to improve general office procedures and student consumer information.
Financial aid funds: Provide oversight for over 400 financial aid funds in Columbia's accounting system (ARC) for both the medical school (VP&S) and the dental school (CDM). -This will include budget tool entries, journal entries as needed, reconciliation of transactions in ARC, the Student Information System (SIS), and the financial aid system (PowerFAIDS), and monitoring funds for accuracy of transactions; -Assist with data collection and preparation of statistical reports and presentations for various audiences, using Excel, Word, PowerPoint, and SIS Desktop and PowerFAIDS reports; -Work with Associate Directors to develop and maintain an electronic system to facilitate matching financial aid recipients to donor's preferences for both medical and dental students. Maintain financial aid fund files.
Department Expenses: Process transactions and resolve any billing discrepancies via ARC for department expenses. Monitor operating budgets, and prepare reports to aid in budgeting, financial tracking, and projections.
Other projects: -Under the supervision of the Financial Aid Officer; Manage logistical aspects debt management and financial literacy programs update materials, scheduling, notification to participants and related offices; -Provide back up to the Financial Aid Coordinator with 'front desk' duties in assisting applicants, students and families with all aspects of the financial aid process, answer office mail; index documents in OnBase for student files; -Provide continuity of basic office functions when professional staff attends workshops, seminars or conferences; -Responsible for other projects and duties as they arise.
General Minimum Qualifications: Requires a bachelor's degree or equivalent in education, training and experience, plus two years of related experience.
Additional Specific Minimum Qualifications: -Proficient with Microsoft Office; -Advanced Excel, Word, and PowerPoint skills; -Requires strong organizational skills and a very strong customer service orientation; -Ability to multitask in a fast paced environment; -Ability to maintain confidentiality of tasks required; -Ability to compile and analyze data, and prepare user-friendly presentations; -Excellent verbal and written communication skills, including the ability to effectively communicate with various audiences and interact with a highly diverse group of internal and external constituents.
Preferred Qualifications: -1 to 2 years related experience in financial aid or other student service area; experience with a graduate/professional financial aid population a plus; -Experience with PowerFAIDS or other mainframe and PC-based financial aid systems; -Experience with an Enterprise Data Management (EDM) system; -Ability to work with Qualtrix and Drupal software to create new forms and website content; -Experience with Columbia's ARC system a plus.
