The role of a credit analyst is to professionally and efficiently handle day-to-day activity in the Credit Department by completing assigned duties and maintaining DSO and past-due accounts receivable at the levels set in objectives.
Some of the specific job duties include:
Utilizing the telephone, PC, Get-Paid Software and various reports, as well as effective use of personal visits when appropriate, handle all credit department collection activity for assigned accounts, keeping all appropriate people advised of problems and actions taken/required. Meet with Credit Manager monthly or as requested to discuss status of accounts.
Determine appropriate collection arrangements including but not limited to extended payment arrangements, negotiated settlements on material and/or finance charges, initiation of outside collections activities (agency or attorney), revocation of credit extension, while being innovative in creating solutions to supply projects or offer arrangements customers while protecting Viking’s collection position.
Effectively respond to inquiries from customers, other Viking associates and outside organizations on customer accounts, including resolution of problems, authorization of new orders, maintenance of billing information, release of confidential credit information to the appropriate people and maintain customer good will.
Monitor credit limits for assigned accounts, changing credit limits where appropriate, and authorizing shipments as needed.
Through involvement in professional associations and continuing education, maintain knowledge of construction law, credit regulations, and other factors affecting the Credit Department, both to assist the Credit Manager and to represent the Credit Department to people outside of Viking’s Credit Department.
Interact with Cash Application Team at Sonepar to ensure that customer payments are applied timely and correctly. Direct audit memos and short payments for various types of deductions to the proper person, either inside or outside Viking.
Handle and manage invoices and other documents requiring special handling to insure prompt payment of invoicing. Utilize Billtrust website for obtaining invoice and statement documents and customer payments.
Manage sales tax collection and documentation for accounts being knowledgeable in the area of sales tax requirements and documentation in the states for which accounts are being managed.
Meet with assigned account managers and complete the Joint Account Review Process each month. Advise and train sales people in collection approach and collection options. Work together with sales to collect accounts and resolve disputes.
Properly complete appropriate lien waivers and other legal documentation as needed.
Encourage and educate customers in managing finances to change payment habits and run their businesses more fiscally responsibly.
Strong verbal and written communication skills
Ability to work semi-independently while making decisions to achieve stated objectives
Basic accounting skills
Strong computer skills - Excel, Outlook email, credit software, ERP system
Ability to learn and interpret Viking Electric's processes and procedures.
Minimum of 2+ years in commercial credit or accounts receivable collections, preferably in a construction-related field.
